How Import Buyers Can Prepare Payment and PI Details for a Candy Order

For importers, distributors, wholesalers, and private-label buyers, payment and PI preparation is not only a finance question. It is a sourcing workflow question. The buyer needs enough information to confirm the right SKU, pack route, quantity, and document details before a deposit is released.

This guide is designed to help buyers prepare cleaner payment and proforma-invoice handoff before an order moves into production. It is written for B2B teams that want a practical route before starting a detailed quotation discussion.

Latest market insight

  • The White House order of July 30, 2025 ending duty-free de minimis treatment for all countries raised the cost of careless sample and replenishment paperwork, so PI details matter earlier.
  • FDA’s traceability requirements now point buyers toward clearer SKU, lot, and product descriptions before payment is released for food imports.
  • The 2026 Sweets & Snacks trend reveal shows faster assortment launches, so import buyers need cleaner PI and payment handoff when testing new candy lines.

Freeze the commercial scope before you ask for the PI

Many PI problems start before the invoice exists. The buyer is still changing SKU count, packaging route, net weight, or destination details, but asks the supplier to issue a PI anyway. That usually creates a revised PI, a delayed deposit, and confusion about what was actually approved.

Before asking for payment details, lock the parts that materially change the commercial document:

  • the final candy SKU list
  • pack format and unit count
  • order quantity
  • Incoterm
  • destination port or delivery point
  • whether the order is stock-style or private label

The supplier can still help refine details, but the PI should reflect a real buying decision, not a moving draft.

Align payment terms with the actual order stage

Payment terms should match the project maturity. A simple repeat order, a first trial order, and a packaging-heavy private-label order do not carry the same risk. Buyers should confirm not only the deposit percentage, but also when the balance is due and what event triggers it.

Useful questions include:

  • Is the balance due before shipment or against copy documents?
  • Does the PI describe any sample or packaging cost separately?
  • Are mold, tooling, or artwork charges listed clearly?
  • Does the currency match the buyer’s planning model?
  • Is the bank beneficiary information exactly the same as prior approved records?

That short check reduces payment friction more effectively than negotiating blindly at the last minute.

Make sure the PI description matches packaging, labels, and documents

The PI is not only a finance document. For food imports, it becomes part of the shipment evidence chain. Product description, SKU names, quantity units, carton logic, and sometimes even pack language need to stay consistent with what the buyer will later see on samples, packaging files, and export paperwork.

Import buyers should review whether the PI wording aligns with:

  • approved product names
  • pack style and net weight
  • carton quantity or display configuration
  • date-code or lot traceability references
  • any required certificate or compliance support promised earlier

If the PI says one thing and the packaging file says another, the payment step may complete but the shipment stage becomes harder.

Use one PI checklist before releasing the deposit

The cleanest workflow is to run a short PI review before finance sends payment. Procurement checks the commercial terms, sales checks the SKU description, QA or compliance checks document assumptions, and finance checks beneficiary details and payment timing. One controlled pass is usually faster than several small corrections after the bank transfer.

This is also the point where buyers can separate a serious order from a conversation that still needs product or packaging clarification.

Quick checklist before you ask for a quote

PI item What to confirm Why it matters
SKU scope Product names, pack route, net weight, and quantity Prevents PI revisions after the buyer already asked finance to prepare payment
Trade terms Incoterm, destination point, currency, and validity Keeps cost and timing assumptions commercially usable
Payment terms Deposit %, balance trigger, sample charges, and tooling lines Avoids surprises between PI issue and transfer approval
Document match Product description, carton logic, certificates, and compliance notes Helps the PI stay aligned with packaging and shipment paperwork
Bank check Beneficiary name, account details, and internal approval owner Reduces preventable payment delays and rework
